Job Description

The European Molecular Biology Laboratory (EMBL) is one of the highest ranked scientific research organisations worldwide. The Headquarters Laboratory is located in Heidelberg (Germany), with additional sites in Barcelona (Spain), Grenoble (France), Hamburg (Germany), Hinxton near Cambridge (UK) and Rome (Italy).


The successful candidate will support EMBL’s Human Resources team, which is responsible for delivering a high quality, comprehensive HR and recruitment service to all laboratory’s personnel of approx. 1800 from over 80 nations. Organizational and administrative tasks to be handled include:
  • Advising on, processing and documenting visa and residence requirements for members of personnel and their families and maintain communication with authorities as required; this includes preparation and provision of respective reports
  • Assisting new members of personnel with entry formalities
  • Providing secretarial services, including correspondence, filing, maintaining records, ordering material, processing the post etc.
  • Organizing, coordinating and preparing meetings
  • Arranging travel and accommodation and their reimbursement
  • Liaising and interacting with support staff in the general administration at EMBL
  • Any other tasks as assigned by the Senior Human Resources Officer and/or the Head of Human Resources
Qualifications and Experience

The identified candidate holds a comprehensive training in administration and several years of working experience in administration, ideally in the area of Human Resources.


The applicant should demonstrate a conscientious attitude, the ability to prioritize tasks and work independently in his/her area of responsibility, yet seeking guidance when required. He/she should integrate and work well in a highly motivated, fast paced team. He/she will possess strong interpersonal and communication skills, high customer service orientation as well as excellent organisational skills. The person appointed will be expected to be very flexible and to be able to work under pressure and to tight deadlines when required, while remaining calm, friendly and helpful at all times. Furthermore, attention to detail, very good computer skills and proficiency in Microsoft Office applications are essential. Knowledge of SAP HR would be an advantage.

English, French and German are the official languages of EMBL. For the position advertised, fluency in oral and written English is essential as well as a very good working knowledge of German. Any additional European language would be an asset.
