Job Description

We are looking for a Group Secretary to join the EBI’s Gene Expression Cluster, which consists of four Team Leaders and approximately 40 staff. The Group Secretary will provide PA support to the Senior Team Leader.

Responsibilities will include:
  • Arranging travel for the Team Leaders and other staff members as well recording Team Leader travel preferences and communicating these to travel agencies.
  • Extensive diary management.
  • Preparing documents for meetings and coordinating with other PAs and administrative staff both inside and outside the EBI.
  • Purchasing via SAP and updating FileMaker records, in addition to credit card reconciliation and reconciliation of expenses.
  • Provision of project based administrative support when required for audits and report writing.
  • Planning, organisation, and scheduling of own workload so that all activities are completed accurately and on time.
  • Coordination of internal and external meetings and conferences so that they run smoothly, including scheduling meeting times, making travel arrangements for attendees and ensureing that various meeting amenities are available.

You will be a member of the EBI's Administration and will attend their monthly meetings.

Qualifications and Experience

In addition to having some years of administrative experience, a good knowledge of Windows, MS Office applications, email services and internet applications is required. Experience with travel organisation and/or help with the organisation of meetings would be highly desirable. Excellent organisational, interpersonal and communication skills, attention to detail and the ability to work in a team as well as independently are a prerequisite. The ideal candidate needs to be self-motivated and able to work to deadlines.
