Job Description

The European Molecular Biology Laboratory (EMBL) is one of the highest ranked scientific research organisations worldwide. The Headquarters Laboratory is located in Heidelberg (Germany), with additional sites in Barcelona (Spain), Grenoble (France), Hamburg (Germany), Hinxton near Cambridge (UK) and Rome (Italy).

EMBL has implemented a Customer Relationship Management (CRM) software system to support its engagement with its alumni and external contacts. After a successful implementation phase, a second phase is planned to introduce new functionality and to roll-out the software to additional departments. The Project Coordinator and Database Manager is responsible for managing phase 2 as well as maintaining the current CRM database. There will be a comprehensive hand-over by the current project coordinator.

The main responsibilities of the Project Coordinator and CRM Administrator are:

1. Project Management – CRM Implementation Phase 2
• Developing the project scope and main deliverables in collaboration with the project sponsor and project team
• Developing and implementing an effective project plan
• Ensuring that the project is delivered on time, to budget and to superb quality standards
• Managing relationships with a wide range of groups including internal and external stakeholders and service providers
• Ensuring effective communication within the project team as well as to all relevant stakeholders
• Providing status reports to the EMBL leadership

2. CRM Application Administration & Maintenance
• Issue & Change Request Management: Attend weekly user group meetings, act as interface between EMBL users, EMBL IT and the software provider; lead change request management incl. budget monitoring
• Training & Support: Perform in-house trainings, provide support and up-to-date documentation to EMBL users
• Application Administration: Manage/change system configuration as needed, system monitoring, ensure adequate data quality
• User management and administration
Qualifications and Experience

Applicants must have professional experience as a project manager and should be experienced in maintaining and using (web-based) enterprise applications. Experience in an international organisation is highly desired. The ideal candidate should be able to take initiative, possess analytical skills, and be capable of establishing effective channels of communication and liaison. The job requires an ability to work to tight deadlines with patience, good humour and excellent interpersonal skills. S/he must have an excellent command of English and spoken and written knowledge of German. Fluency in other languages, especially French, is desirable. The post holder must be service-oriented and tactful, possess good judgment and the ability to maintain effective working relationships in a multi-cultural environment.
